Report Analysis Procedure

A Report Analysis is required if a store wants an in-depth analysis of their reports, typically the Stock Variance and Gross Profit reports, so as to identify why certain figures and values appear the way they do. The report audit is different from normal reporting support in the following ways:

  • The agent takes a copy of the database to investigate the reports in question without being connected.

  • The problem areas and items are investigated by an experienced eye in detail from all aspects

  • The results are compiled and highlighted in a detailed report, with suggestions as to how the problems can be addressed or prevented.

Important notice for customers:

Please review the following terms and conditions carefully:

  1. Service Level Agreement (SLA):

    • We commit to completing the Reports Analysis within 10 working days from the time we receive all necessary information.

  2. Billing:

    • You will be billed at the normal hourly callout rate for the time our agent spends on the Reports Analysis.

    • The billing rate is R613.00 per hour (ex VAT) or part thereof.

    • Regardless of the outcome, you will be billed for the time spent on the analysis.

  3. Billing Exceptions:

    • You will not be billed if the issue is due to a recipe mistake made by the Cosoft Menu Department (where the recipe differs from the Brand brief).

    • You will not be billed if the issue is caused by a bug in the Backoffice software.

  4. Contact Information:

    • Our agents may need to contact you for additional information. Please provide the contact details of the best person to assist us promptly.

  5. Communication and Impact on SLA:

    • If we attempt to contact you and are unable to get through, and this impacts our ability to meet the SLA, Cosoft will not be held responsible.

    • Time spent trying to make contact will be included in the billing.

  6. Agent’s Questions:

    • The agent performing the Reports Analysis will use your answers to the following questions to determine the best course of action:

      1. Issue Description: Please provide a detailed description of the issue.

      2. Supporting Documentation: Attach any relevant documentation or reports to help us identify the issue.

      3. Stock Control Training: Have you received advanced training in stock control?

      4. Desire for Training: Would you like advanced training in stock control?

      5. Stock Events Check: Have you reviewed all stock events (Stock Count, Purchases, Returns, Discard Stock, Manufactured Stock, Transferred Stock)?

      6. Menu Items with Recipes: Have you checked the Menu Items with Recipes report?

      7. Problem Start Date: When did the problem start?

  7. Database Access:

    • If you agree to these terms, our agent will reach out to obtain a copy of the database.

    • A different agent may follow up for any additional information needed to complete the reports analysis.
