How to configure MobilePOS for vending events
Aura’s MobilePOS is an ideal tool to help you with vending events where you may be away from your store but still want to take orders that can then be synced into the system.
Here’s how to make sure your MobilePOS devices are ready for these events. Below are some important elements and testing steps to check. This should be done a day or two before the events so there is time to investigate and resolve any issues.
Menus
It may have been a while since the last time MobilePOS was launched on the device, as such it’s important to check if the menu is up to date.
If the menu has changed since last time you used MobilePOS, then open the app while at store and the device is connected to the network, and make sure it completes the menu sync.
Employees
It’s also vital to make sure your employee information is up to date, since passwords and other info may have changed since last use.
Sync your employee list while at the store. This process should be automatic if there is a connection from the server to the device via Wi-Fi, if not then re-download the settings from the server:
Tap Settings
Tap Get Settings from Server
Pre-event Testing
It’s important to test an order or two while at the store to make sure the device functions as intended at the event:
Go outside where there is no internet and place a test order.
Come back and connect to Wi-Fi at the store - note that this should be the same network that the server is on.
Sync your sales into Backoffice. This should be automatic, otherwise you can tap Sync on the Summary screen.
Confirm that the order appears on your Aura POS, and that a new shift has been created for the device with the sale present.
If so, your device is ready for the event.
It’s important to note that when you sync orders with your server and POS database, your orders will appear on any kitchen screens at that point, so you will need to make sure that those orders are then cleared from the kitchen screen.
If you are tracking kitchen speed metrics, it’s recommended to configure your queues to ignore orders from MobilePOS devices. Contact support if you need assistance with editing your queues.
After the Event and Cashup
Once the event is concluded and your MobilePOS devices have had all sales loaded, you can print a short cashup summary from the device’s bluetooth printer.
Tap Cashup in MobilePOS
Tap Print
Return to the store and Sync the sales.
For each device, a till shift entry will be created at the point of syncing and the sales for that device will be saved to that shift. It’s for this reason that you should sync the sales on the same day as the event when possible, or else you may have a cashup with a different date to the sales!
Note that each device will create a unique shift - cash and card reciepts should be kept separate for each device used for sales to make cashup easier.
You may now capture the cash or card entries for this shift/device as per a normal shift.
